Oxford Small Pet Boarding – Terms & Conditions

By submitting a booking and ticking the acceptance box, you confirm that you have read, understood and agreed to these Terms & Conditions.


Booking & Payment

Once a booking form has been received, an invoice will be issued.

Your booking is only confirmed once payment has been received.

  • Bookings made more than 14 days before check-in require a 50% non-refundable deposit.
  • The remaining balance is due 14 days before check-in.
  • Bookings made within 14 days of arrival must be paid in full at the time of booking.
  • If payment is not received by the due date, Oxford Small Pet Boarding reserves the right to cancel the booking and offer the space to another customer.
  • A minimum boarding period of three days applies.

Vaccinations (Rabbits)

All rabbits must be fully vaccinated against:

  • Myxomatosis
  • Rabbit Viral Haemorrhagic Disease (RHD) Strains 1 & 2

Proof of vaccination must be emailed before boarding.

Vaccinations must have been administered at least 14 days before the start of boarding.

Failure to provide proof of vaccination will result in your rabbit being refused boarding with no refund.


Emergency Contact

A valid emergency contact is required for every booking.

Your emergency contact must not be travelling with you and must be available throughout your pet’s stay.

They must be someone you trust to make decisions regarding your pet’s welfare should we be unable to contact you.

Your emergency contact may be required to:

  • Make decisions regarding veterinary treatment.
  • Collect your pet from Oxford Small Pet Boarding or the veterinary practice.
  • Provide ongoing care should your pet become too unwell to remain in our boarding facilities.

Failure to provide a suitable emergency contact may result in your booking being declined. 


Drop-Off & Collection

Standard drop-off and collection times are:

10:00am – 11:00am

Late arrivals or collections may result in:

  • A £30 late fee.
  • An additional day’s boarding charge.
  • Refusal of check-in where appropriate.

Any additional charges must be paid before or upon collection.


Food & Bedding

Owners must provide enough of their pet’s normal food for the duration of the stay.

If food runs out, Oxford Small Pet Boarding will attempt to source the same brand where possible.

A £5 sourcing fee, plus the cost of the food, will be charged.

Should the same food be unavailable, Oxford Small Pet Boarding accepts no responsibility for any digestive upset caused by an alternative brand.

Fresh hay, fresh water and wood shavings are included.

Owners requiring alternative bedding must provide it themselves or pay the cost of sourcing together with a £5 sourcing fee.


Fresh Vegetables

Owners are asked to provide sufficient fresh vegetables for their pet’s stay.

Where insufficient vegetables are supplied, a charge of:

  • £10 per stay, or
  • £5 for stays of three days

will apply and is payable upon arrival.


Coat Maintenance (Long-Haired Rabbits)

Daily coat maintenance is available for all rabbits and guinea pigs.

For long-haired rabbits this service is mandatory.

A charge of £1 per rabbit per day will be added to your invoice.

This helps prevent matting, urine scald and flystrike.

Oxford Small Pet Boarding is not a grooming service.

Where excessive matting is present, additional grooming charges may apply or boarding may be refused where appropriate welfare standards cannot be maintained.


Personal Belongings

Please clearly label all belongings with your pet’s name.

Where possible, keep belongings together in one bag.

Owners are welcome to provide toys, litter trays and hides.

For safety reasons please do not bring:

  • Glass containers
  • Glass bottles
  • China bowls

During busy periods we may ask owners to take non-essential items home due to limited storage.

All belongings remain at the owner’s own risk.

Oxford Small Pet Boarding accepts no responsibility for lost or damaged items.


Medication

Medication instructions must be emailed before arrival and include:

  • Medication name
  • Dosage
  • Frequency
  • Method of administration

All medication must be supplied by the owner in its original packaging.


Cancellations & Rescheduling

Deposits and payments are non-refundable.

Where possible, bookings may be transferred to alternative dates provided:

  • At least 14 days’ notice is given.
  • Alternative dates are available.

A £5 administration fee applies to booking amendments and chasing overdue invoices.

No refunds are given for early collection.


Non-Collection of Pets

If you are unable to collect your pet on the agreed date, please notify us as soon as possible.

Additional boarding fees will apply.

If a pet remains uncollected for more than 24 hours, we will attempt to contact both the owner and the emergency contact.

If no contact can be made and the pet remains uncollected for 14 days, Oxford Small Pet Boarding reserves the right to make alternative arrangements in the best interests of the animal.


Veterinary Care

Oxford Small Pet Boarding has extensive experience caring for rabbits, guinea pigs and other small animals.

Animals are monitored throughout the day and their welfare is our highest priority.

If, in our professional opinion, your pet requires veterinary treatment, we reserve the right to seek veterinary attention without delay.

We will make every reasonable effort to contact you first, followed by your emergency contact.

Your veterinary details may be shared with the treating veterinary practice where necessary.

Emergency Veterinary Care

Oxford Small Pet Boarding cannot provide intensive nursing care, including overnight monitoring, hospital-level care, fluid therapy or frequent assisted feeding.

Where hospitalisation is not appropriate or available, your emergency contact will be expected to collect your pet and assume responsibility for its ongoing care.

Veterinary Attendance Charges

If we are required to transport your pet to a veterinary practice, the following charges apply:

  • £50 veterinary attendance fee, including travel to Medivet Woodstock, liaison with the veterinary practice and up to one hour of staff time.
  • If Medivet Woodstock cannot offer an appointment and your pet is taken to Chipping Norton Veterinary Hospital, mileage will be charged at £0.55 per mile for the return journey.
  • Veterinary visits exceeding one hour (including travel and waiting time) will incur an additional charge of £40 per hour, or part thereof.
  • Any additional staffing or childcare costs reasonably incurred to enable attendance at the veterinary practice may also be charged.

These charges must be paid within 24 hours of being incurred or before your pet is collected, whichever is sooner.

Veterinary Fees

All veterinary consultation fees, medications, diagnostic tests, treatments, surgery, hospitalisation and associated costs remain the sole responsibility of the owner.

Health on Arrival

Owners must only board pets that are fit and healthy to travel.

If, upon arrival, a pet appears unwell, is suffering from a contagious illness or is otherwise considered unsuitable for boarding, Oxford Small Pet Boarding reserves the right to refuse admission.

Where boarding is refused for these reasons, no refund will be given.

If a pet’s health deteriorates during boarding, Oxford Small Pet Boarding reserves the right to seek immediate veterinary treatment without owner authorisation where delaying treatment may compromise the animal’s welfare.

Professional Judgement

We kindly ask owners to respect our experience and professional judgement.

Pets are monitored throughout the day and we will contact you if we have concerns regarding their health.

We are unable to accommodate requests to “wait until later” where, in our professional judgement, prompt veterinary assessment is in your pet’s best interests.


Bereavement

In the unfortunate event that a pet passes away during boarding, we will contact you as soon as possible.

If we cannot reach you, we will contact your emergency contact.

Any post-mortem examinations, veterinary investigations or associated costs remain the responsibility of the owner.


Privacy Statement

Oxford Small Pet Boarding is committed to protecting your personal information in accordance with the UK General Data Protection Regulation (UK GDPR).

The information you provide is securely stored and used solely for administering your booking.

We may contact you by telephone, email or text message regarding your booking.

Marketing emails will only be sent where you have given your consent.

We store your name, address, email address and telephone number solely for booking administration.

Your information will never be shared with third parties unless required by law or where necessary for your pet’s veterinary treatment.

If you have not made a booking within 36 months, your personal information will be securely deleted in accordance with our data retention policy.#
