Terms & Conditions – Oxford Small Pet Boarding

Booking & Payment

Once a booking form is received, an invoice will be issued. Your booking is secured only once payment has been received.If payment is not made by the due date, your booking will not be secured and may be offered to another customer. A minimum stay of three days applies. Bookings made within 14 days of check-in must be paid in full at the time of booking. Bookings made more than 14 days in advance require a 50% deposit upon booking, with the remaining balance due 14 days before check-in.

Vaccinations (Rabbits)
We only accept rabbits that are fully vaccinated against Myxomatosis and Rabbit Viral Haemorrhagic Disease (RHD) strains 1 & 2. Proof of up-to-date vaccinations must be emailed at the time of booking. Vaccinations must have been administered at least two weeks prior to boarding. Failure to provide proof of vaccination will result in your pet being refused entry.

Drop-Off & Collection
Standard times: 10:00am – 11:00am.

Late arrivals may result in: additional day charges (payable prior to or upon collection), or refusal of check-in (no refund given). A fee of £30 may apply if drop-off or collection times are missed.

Food & Bedding
Owners must provide their pet’s normal diet for the duration of their stay. If food runs out, we will try to source the same product. A £5 sourcing fee plus the cost of the food will be charged. If an alternative brand is required, Oxford Small Pet Boarding accepts no responsibility for any effects this may have. Fresh water, hay, and shavings are included in the boarding price. If alternative bedding is required, this must be provided. Otherwise, a £5 sourcing fee plus cost will be charged.

Fresh Vegetable Provision

Owners are asked to provide fresh vegetables for their pet’s stay. From 2026, if sufficient vegetables are not provided, a £10 charge will apply per stay (£5 for stays of 3 days), payable on arrival. This charge may also be paid upon arrival as an alternative to bringing vegetables.

Coat Maintenance – Long-Haired Rabbits
Daily coat maintenance is available to all rabbits and guinea pigs boarding with us. For long-haired rabbits, this service is mandatory and will be automatically applied to the booking.


A charge of £1 per rabbit, per day will be added to the invoice to cover the daily care required to prevent matting and maintain hygiene. This fee is payable either with the final balance (due two weeks prior to check-in) or at the time of booking if the stay is within two weeks.


We are not a grooming service. If a rabbit arrives with a matted coat, an additional grooming fee may be discussed with the owner. In severe cases, we reserve the right to refuse boarding if appropriate care cannot be provided.
Regular coat maintenance is essential for rabbit health and welfare, including reducing the risk of flystrike, and helps us maintain a clean and comfortable boarding environment for all animals.

Personal Belongings
Please clearly label all belongings with your pet’s name. Wherever possible, place belongings in a single bag so that they can be kept together. You are welcome to bring toys, litter trays, and houses to place in your pet’s cage during their stay. For safety reasons, please do not bring glass containers, bottles, or china bowls. During peak periods, we may ask you to take non-essential items home due to limited storage space.

All belongings are left at the owner’s own risk. Oxford Small Pet Boarding accepts no responsibility for items that are lost or damaged.

Medication
Full details of medication (dosage, timing, administration method) must be emailed to enquiries@oxfordsmallpetboarding.co.uk prior to arrival. All current medication must be supplied by the owner.

Cancellations & Rescheduling
Refunds are not provided for cancellations. Where possible, booking dates may be changed, subject to availability. At least 14 days’ notice is required for rescheduling and are dependent on availability. Changes requested within 14 days cannot be guaranteed. A £5 administration fee applies for rescheduling and chasing overdue invoices. No refunds will be given for early check-outs.

Non-Collection of Pets
If you cannot collect your pet on the agreed date, please notify us at least 24 hours in advance where possible. Additional days will be charged and must be paid before or upon collection. If pets are not collected within 24 hours of the agreed check-out time, we will contact you. If unreachable, we will attempt to contact your designated emergency contact. If neither you nor your emergency contact can be reached and the pet remains in our care for 14 days past check-out, alternative arrangements may need to be made.

Veterinary Care
If your pet becomes unwell while in our care, we will take them to Beaumont Veterinary Practice or Medi Vet (out of hours). We will make every effort to contact you and/or your emergency contact. Veterinary details provided on the booking form will be shared with the vet to access health records.

Oxford Small Pet Boarding cannot provide critical care around the clock (e.g., overnight fluids, intensive feeding, or hourly medication). If required, and hospitalisation is not an option, your emergency contact must collect your pet.

All veterinary costs must be paid in full by the owner prior to or upon collection.

Bereavement
In the unfortunate event that a pet passes away during their stay, we will contact you at the earliest opportunity. If you cannot be reached, we will attempt to contact your designated emergency contact. We will follow your or your emergency contact’s instructions regarding how to proceed. Any costs relating to examinations (e.g., post-mortem, health checks of other pets) are the owner’s responsibility.



Privacy Statement

In line with the General Data Protection Regulation (GDPR) effective from 25 May 2018, Oxford Small Pet Boarding is committed to protecting your personal information.

When you submit a booking form, your personal data is securely stored.

Your data will only be used to contact you regarding your booking, via email, text, or telephone.

We may occasionally send news or promotions, but only if you have provided prior consent.

Personal information we hold includes: your name, address, email address, and telephone number.

Your details will never be shared with third parties without your prior consent.

In line with our Data Retention Policy, if no further bookings are made within 36 months, your personal data will be securely destroyed.
